Job Summary:

To provide administrative assistance and clerical support for internal customers.

Primary Responsibilities and Specific Duties:

  • Documents and Reports:
  • Manage, type, copy and distribute correspondence, memos, agendas and reports.
  • Take minutes at meetings as required.
  • Arranges meetings as directed by Center Leaders.
  • Schedule meeting space at center and maintain calendar of same.
  • Prepare meeting space to include room and refreshment set up and break down.
  • Set up and maintain filing system.
  • Set up and maintain filing system.
  • Provides clerical support for center, including but not limited to:
    • Preparing on-boarding schedules
  • Certified mail
  • Preparing letters for providers
  • Opens and sort mail for center including scanning to patient charts and incoming medical records.
  • Run errands to include purchasing lunches, preparing for CHC special events, and monthly center recognition.
  • May assist with end of day closing of center.
  • Order/maintains adequate supply of office supplies, patient brochures, and complaint and compliment forms.
  • Keep inventory of Reach Out and Read books and send order requests as needed.
  • Enters office and medical supply order into electronic requisition system. Receives and verify delivery orders.
  • Assists with submission of Information Services requests and Facility Work Orders.
  • Prepares expense reports for credit card charges and travel expenses for Center Leaders.
  • Performs other duties as assigned.

Qualifications:

Education:

  • HS Diploma required.
  • Advanced education in executive assistant or secretarial program is preferred as well as any other advanced studies in a related field.

Experience:

  • Minimum of 2 years prior experience in a similar or related field.
  • Proficiency utilizing the following Microsoft Office Applications required: 
    • Word, Excel, and Outlook.

Certification/Licensure:

  • None

Special Skills:

  • Good written and verbal communication skills.
  • Ability to meet deadlines and prioritize along with good organizational skills.
  • Computer (word processing) skills are also required.
