Job Summary:

The Dental Coordinator provides leadership, supervision, direction, administration, and coordination to specific and assigned positions in Dental Operations.

This position provides technical training assistance, implementation support, and customer product support for new and existing dental front desk team members. Develops new training materials, manuals, and provides general user support. Analyzes dental schedule review and manages dental team for same day and future scheduling opportunities for the dental department. Collaborates with the Contact Center for routine and urgent dental care scheduling.

This position requires collaboration with multiple departments throughout Community Health Centers, Inc. (CHC) to ensure timely, accurate, and efficient follow-up regarding dental operations related business.

This position is responsible for resolution of complaints and grievances related to dental from patients or other stakeholders, ensuring that concerns are addressed promptly and efficiently.

This position functions as the liaison between dental clinical support staff, providers, and collaborates with Dental leadership.


Primary Responsibilities and Specific Duties:

  • Supervision and Leadership - Provides direct management to the assigned dental team members, ensuring efficient operations and adherence to organizational standards.
    • Ensures accurate and timely completion and submission of employee timesheets.
  • Prepares and delivers employee appraisals, disciplinary actions, competencies, coaching, and counseling.
  • Prepares timely and accurate notes of employee issues and meetings.
  • Evaluates resumes/employment documents of potential candidates and makes hiring decisions.
  • Enforces adherence to organizational policies and procedures such as Time, Attendance and Punctuality, and Dress and Grooming.
  • Identifies both day-to-day and long-term priorities of the team.
  • Determines training, refresher training, and development programs for dental front desk team, arranges opportunities for education, and provides ongoing training.
  • Ensures all assigned team members comply with required training.
  • Provides orientation and training of newly hired team members. Develops onboarding and training schedule for new team members.
  • Develops meeting agendas, PowerPoint presentations and leads dental front desk team meetings.
  • Initial recipient of "call outs."
  • Reviews and approves Travel Reimbursement Expense Reports.
  • Operational Oversight - Develops and manages schedules to ensure adequate coverage and optimal team performance.
    • Manages the Dental Coverage Calendar.
  • Initiates Incident Reports, Facilities and IS Requests. Ensures proper completion, documentation, and communication for all reports.
  • Ensures compliance with local, state, and federal rules and regulations and accrediting bodies.
  • Determines requirements for dental support staffing.
  • Develops reports related to department and organizational initiatives.
  • Project Implementation
    • Conducts and participates in real or mock surveys and/or emergency drills. Ensures team review and completion for corrective action as required or recommended.
  • Recommends dental related procedural improvements to VP/Chief Dental Officer, Associate Dental Director and/or Director of Dental Operations.
  • Participates in departmental Quality Assurance/Quality Improvement projects, which impact organizational priorities.
  • Coordinates and participates in new dental site openings.
  • Complaint and Grievance Resolution - Manages and resolves complaints and grievances promptly and efficiently.
    • Responsible for investigation and follow-up of incidents related to the department.
  • Responsible for follow-up and resolution of patient/complaints or grievances.
  • Resolves patient concerns and facilitates site transfers.
  • Interdepartmental Collaboration - Works closely with departments to ensure integrated and comprehensive patient care services are met based on organizational goals.
    • Communicates with Center leadership regarding issues relating to utilities, equipment, and software.
  • Collaborates with the Dental Call Center leadership to maintain an open line of communication and interoffice support to address updates and concerns.
  • Monitors the timeliness and accuracy of patient scheduling.
  • ECW Document Management:
    • Ensures documents are reviewed and processed, as it pertains to patient preregistration
  • Performs duties in assigned position and may fill in if there is an absence of/or shortage of leadership or staff.

Qualifications:

Education:

  • High School Diploma required.
  • Associate degree preferred.

Experience:

  • A minimum of two years in a healthcare setting (i.e., community health center, large dental office, or group practice) required.
  • Previous supervisory experience required.
  • A minimum of two years dental practice experience is preferred.

Certification/Licensure:

  • Current BLS certification required or must be obtained within 30 days of hire.
  • Must have a valid Florida Driver's License.

Other requirements:

  • Able to work flexible hours as needed.
  • Able to travel to various sites as needed.
