Scope of Position:

Under the guidance of the Finance Executive Coordinator, serves visitors by greeting, welcoming, and directing them appropriately and notifies personnel of visitor arrival. Provides reception and clerical support to internal and external customers.

Primary Responsibilities and Specific Duties:

  • Welcomes visitors by greeting them, in person or on the telephone and answering or referring inquiries.
  • Directs visitor by maintaining employee and department directories.
  • Maintains security procedures including issuing visitor badges.
  • Maintains safe and clean reception area by complying with safety procedures.
  • Provides a high level of customer service.
    • Organizes catering for the Board of Directors monthly and Executive Team bi-weekly meetings.
  • Prepare meeting space to include setting up room, ordering/picking up meals/refreshments.
  • Prepares expense reports (Amex and travel expenses) for the CEO and Executive Office and Board Liaison.
  • Researches, obtains, and compiles information for new Board Members Board Orientation binder.
  • Arranges travel and lodging accommodation and completes conference registrations for the CEO and others as assigned.
  • Assists with and participates in events and functions at the administrative office.
  • Orders office supplies including supplies for the breakroom and postage meter.
  • Prepares correspondence and documents including business associate templates which involves follow up and tracking of status.
  • Receives and sorts mail and deliveries.
  • Obtain information via telephone related to patient feedback and inputs into the Incident Reporting System.
  • Enters Information Services requests and Facility Work Orders.
  • Monitors and maintains office equipment, storage room and maintenance for the postage meter.
  • Updates Courier Deposit and mail route schedules.
    • Add codes for new CHC sites or departments and input into the postage meter.
  • Assists Lead Courier with updating training instructions.
    • Assists Lead Courier in training new Couriers to apply postage to letters, certified mail, packages etc.
  • Assists Couriers in affixing postage to mail picked up from the various CHC sites including, letters, registered mail, parcels, and packages.
  • Access ECW to verify patient's information and fax patients records to the appropriate site(s).
  • Subpoenas - verify in ECW that the client is a CHC patient. Sign for documents, deliver directly to Operations Administrative Assistant and completes as directed.
  • Performs other duties as assigned.

Qualifications:

Education:

  • High School diploma or equivalent required.

Experience:

  • Minimum 1 year experience in a similar or related field is required.
  • Proficiency using Microsoft Office including Teams and Outlook required.
  • Bilingual Spanish preferred

Certification/Licensure:

  • None

  • Good verbal communication skills and exceptional telephone etiquette.

  • Intermediate to advanced phone skills; able to effectively relate via the telephone and in- person to serve the needs of the organization (patients/clients/visitors) in a manner that is efficient and productive
  • Ability to meet deadlines and prioritize along with good organizational skills
  • Ability to work well under pressure with minimal supervision
  • Proven flexibility and willingness to handle a variety of tasks
  • Training and/or experience with computer data entry including knowledge in Microsoft Office Applications: Word, Excel, and Outlook
  • Good written and verbal communication skills
  • Ability to interpret and follow directions.
  • Must demonstrate high levels of customer service, friendliness, and tact.

  • Valid Florida Driver's license required
  • May travel to other CHC centers as required
