Job Summary:

Under the guidance of the Administrative Assistant this position is responsible for the clerical support of specific members of the office of the VP/Chief Medical Officer, providers and/or staff. It requires use of presentation software, strong communications skills and a strong commitment to and affinity for delivering the highest level of customer service.

Primary Responsibilities and Specific Duties Include:

  • Provides administrative and clerical support to Medical Services team
  • Performs clerical duties to include: typing, filing, copying and shredding
  • Provide a high level of customer service
  • Demonstrates a high level of accuracy and attention to detail
  • Responsible for opening, sorting and distribution of incoming and outgoing mail
  • Receive and screen telephone calls: handle routing requests, directs to the appropriate person and conveys messages
  • May be responsible for uploading and updating information on Wiki
  • Maintains and coordinate appointments and schedules. Provides reminders for scheduled appointments
  • Set up and maintains well-organized, documented and maintained data files
  • Type, copy and distribute correspondence, memos, agendas, audits, minutes and reports
  • Take minutes at meetings
  • Schedules appointments and arranges conference and meeting room space
  • Assist with and participates in events and functions at the administrative office and at Provider meetings
  • Maintains Department Logs
  • Prepares/updates provider onboarding schedules and student rotation schedules
  • Assists with coordinating CAP Tests and Lab Certificate Distribution
  • Assists with Provider Leave Approval Workflows, updating provider calendars
  • Assists with preparing provider evaluations
  • Prepare meeting space to include setting up room, ordering/picking up refreshments, and break down room after meetings
  • Coordinates meeting and organizes catering for meetings
  • Completes conference registration, travel arrangements accommodations and transportation
  • May run errands for department
  • Orders supplies
  • Monitors and maintains office equipment
  • Obtains information via telephone related to patient feedback and inputs into the Incident Reporting System
  • Enters Information Services requests and Facility Work orders
  • Other duties as assigned

Qualifications:

Education:

  • HS Diploma required; Associates degree preferred
  • Prior administrative or clerical experience in clinical or community-based setting highly preferred

Experience:

  • Minimum of 2 years prior experience in a similar or related field
  • Bilingual skills preferred

Special Skills:

  • Able to work flexible hours as needed
  • May travel to other CHC Centers as required
  • Able to maintain confidentiality under HIPAA and FERPA standards
  • Excellent customer service and interpersonal communication skills
  • Cultural sensitivity and demonstrated ability to work with diverse people groups
  • Intermediate to advanced phone skills; able to effectively relate via the telephone and in-person to serve the needs of the organization (patients/clients/visitors) in a manner that is efficient and productive
  • Ability to meet deadlines and prioritize along with good organization skills
  • Ability to work well under pressure with moderate supervision
  • Proven flexibility and willingness to handle a variety of tasks
  • Training and /or experience with computer data entry
  • Good written and verbal communication skills
  • Knowledge in Microsoft office Applications: Word, Excel and Outlook
