Job Summary:

Under the guidance of the Regional Nurse Manager the Vaccine Coordinator is responsible for the oversight and management of vaccines and Community Health Centers' vaccine programs.

The Vaccine Coordinator maintains vaccine integrity from storage to proper handling, training, and inventory process.

Primary Responsibilities and Specific Duties:

  • Overall oversight and management of vaccines and the vaccine programs.
  • Responsible for ordering vaccines for each CHC center.
  • Oversees proper receipt of delivered CHC, VFC, or VFA, vaccines in Florida Shots or portal.
  • Monitors and provides oversight of eCW and other EMR's to ensure vaccines reflect current inventory, NDC numbers are appropriate, expiration dates, and cross reference.
  • Oversees and updates vaccine information sheet.
  • Responsible for setting up temperature monitoring devices and continued maintenance.
  • Ensuring centers are reading and recording storage unit temps a minimum of two times each workday.
  • Reviewing and analyzing temperature data to identify shifts in temperature trends.
  • Ensuring centers are rotating stock at least weekly to ensure that vaccines with the earliest expiration dates are used first.
  • Ensures expired vaccines are properly processed from the Florida shots aging reports.
  • Creates, works, or updates vaccine reports as indicated.
  • Leads new or existing vaccine programs to success.
  • Manages each center's vaccine manuals annually or as indicated.
  • Responding to out-of-range temperatures (temperature excursion) and reporting excursions to its program and manufacturer for stability letters.
  • Maintaining all documentation, such as vaccine inventory and temperature logs.
  • Update and create vaccine trainings as needed or indicated.
  • Coordinate, assist, and provide oversight of any vaccine events in partnership with the Regional Nurse Manager and nursing department.
  • Ensuring staff is trained on CHC vaccines and Vaccine programs.
  • Monitoring operation of storage equipment and systems.
  • Oversees and participates with proper vaccine transport (when necessary).
  • Oversees emergency preparations, including plans for ensuring safety of vaccine during emergencies including adverse weather conditions.
  • Ensuring appropriate handling of vaccines during disaster or power outage.
  • Team member in this role will need to be familiar with navigating daily tasks and workflow within an electronic health record Attends in-services, and departmental meetings as requested.
  • May be required to travel to other CHC locations.
  • Performs other duties as assigned.

Qualifications:

Education:

  • High school diploma or equivalent; completion of accredited Licensed Practical Nursing course required.

Experience:

  • Minimum of 2 years' experience as a Licensed Practical Nurse in Health Care, Managed Care, physician practice, or clinic setting required.
  • Ability to demonstrate organizational skills and attention to detail and possess a good working knowledge of electronic medical records.

Certification/Licensure:

  • Must possess and maintain current/valid Florida LPN license.
  • Current/valid BLS certification or must be obtained within the first 30 days of employment.

Special Skills:

  • Ability to deal with patients effectively in upsetting situations; able to function professionally in emergency situations.
  • Bilingual skills preferred.

Other requirements:

  • Able to work flexible hours
  • Required to travel to all CHC locations as needed.
  • Able to work evenings and weekends. After hours temperature monitoring of vaccines.
