Job Summary:    

Under the guidance of the Vice President/Chief Medical Officer (VP/CMO), the Medical Services Staff Administrative Assistant, serves as a liaison throughout the organization with regards to support of the office of the VP/CMO and Providers who provide clinical services at Community Health Centers. Assists the Associate Medical Director, Chief of Pediatrics, Chief of Family Medicine, Chief of Obstetrics/Gynecology, Behavioral Health Coordinator and Director of Clinical Quality Outcomes with coordination of the respective various departments. Assists with onboarding and coordinating training of all new and existing Providers. Provides oversight of the medical staff services secretary.

Primary Responsibilities and Specific Duties:

  • Collaborates with VP/CMO, Regional Directors, Center Managers/Center Coordinators to coordinate onboarding and training to new and existing Providers.
  • Coordinates scheduling of interviews for various positions as needed.
  • Formalizes and assists in facilitating successful completion of Provider onboarding and follow up including setting up TeleMed (on call answering service)
  • Facilitates or Coordinates with Foundations, In-services, One on One sessions, and refresher trainings for Providers.
  • Provides oversight and training for the medical staff services secretary.
  • Assists with coordination of Provider Performance Appraisals 
  • Coordinates Provider schedules for on call answering service, works to resolve on call message routing issues.
  • Assists with the maintenance of policies, procedures, provider orientation and reference guide for the medical department.
  • Maintains coordination of the mortality log, Provider partial day off log, unlocked chart log, and other logs as assigned.
  • Coordinates Provider Meeting speakers and responsible for overall event set up.
  • Coordinates the CAP Microscope Testing for Providers twice a year.
  • Coordinates the time sheets prior to review by the VP/CMO and respective Chiefs, Behavioral Health Coordinator
  • Maintains the Provider Calendar for PTO and Float Provider Calendar
  • Assists and coordinates Provider CME requests and reimbursement.
  • Arranges travel for the CMO, along with travel and expense reports.
  • Coordinates collaborating physician calendar and pay.
  • Demonstrates a high level of accuracy and attention to detail.
  • Perform other duties as assigned.

Qualifications:

Education:                           

  • High school diploma or equivalent required.
  • Bachelor's degree in business, healthcare management or related field preferred.

Experience:                         

  • 2-3 years' experience in a medical staff services setting working with executive level management preferred.
  • Management experience preferred.

Certification/Licensure:  

  • Must maintain a valid Florida Driver's license.
